Terms & conditions
Version 2.2 · In effect from 9 September 2026
These terms apply to booking a place on Monopoly Run “Live” and to taking part on the day. The group coordinator accepts them on behalf of everyone they book, and is responsible for making sure their players, and parents or carers where players are under 18, know what they say.
1. Who we are and what these terms cover
Monopoly Run “Live” is a not-for-profit event run by volunteers for Scout and Guide groups across the UK. “We” and “the organisers” means the organising team and the volunteers authorised to act for it. “The booking system” is the dashboard coordinators use before the day. “The app” is the Monopoly Run app for iOS and Android used on the day.
By booking, paying or taking part you agree to these terms. Anything clearly identified as part of the booking flow, such as the refund table, forms part of them.
2. Who can take part
- The run is open to anyone aged 10 or over who is a member of the Scout Association, Girlguiding or SAGGA.
- Entries are made by a group through its coordinator. There are no individual entries.
- Teams are a maximum of seven people, and leaders count towards that. We suggest a minimum of three. Requests for bigger teams are refused.
- Anyone under 14 must have a leader in their team. Teams where everyone is 14 or over can go round without one, at the group leader’s discretion.
- Explorer and Ranger teams do not need a leader in the team, but an adult must be in London all day and reachable if needed.
- Scout Network and Guiding Inspire members are adults, so the supervision rules do not apply to them.
- Adults in a team must be DBS checked. Every adult taking part, including leaders, must be added to the booking and paid for like any other player. Adults who come to London but do not go round with a team do not need a place.
3. Supervision and safeguarding
Groups remain responsible for the young people they bring, before, during and after the run. Supervision, safeguarding and welfare stay with the group and its leaders at all times, under their own organisation’s policies. The organisers do not supervise players.
Where a player is under 18, the coordinator is responsible for holding parental or carer consent for them to take part, including for the use of the app, and for keeping a record of it for at least 12 months after the run. We may ask to see that consent if there is an incident or complaint.
We publish a risk assessment aide-memoire in the booking system to help groups write their own. It is not a substitute: each group is responsible for producing a suitable risk assessment for its own members.
4. Booking and payment
- One leader registers the group and becomes its coordinator. Coordinators can add others to share the job. Groups re-register each year.
- Places are booked per player, and a place is only secured once it has been paid for. Everyone taking part is paid for, including leaders.
- There is a cap on total places for the run. Places are allocated in the order they are paid for, and once the cap is reached the booking system stops taking registrations. There is no waiting list and no provisional or reserved places.
- Places can be paid for under placeholder names, but the real names of the people attending must be entered before the cut-off. We need to know who is on each team in case of an emergency.
- Coordinators choose a Start Zone at registration, subject to availability, and a team speed for each team. These decide which game the team plays in.
- Payment is by card through Stripe, at the point players are added. We do not take bank transfers, cheques or cash, and we never see or store card details. A receipt is emailed after each payment.
- Do not book travel or accommodation until your places are secured. If the run sells out or is altered, we cannot guarantee a replacement place and we accept no liability for travel, accommodation or other third-party costs.
5. Changes, the cut-off and refunds
Players and teams can be added, edited and rearranged in the booking system until the cut-off, which is normally the Friday three weeks before the run and is shown on the booking system dashboard. After the cut-off the booking locks: no players or teams can be added or removed, and no refunds are possible. The only things that can still change are a team’s contact phone numbers and the group’s name.
If a coordinator removes a paid player before the cut-off, part of the entry fee is refunded. The refund is scaled: the closer to the cut-off a player is removed, the smaller it is, because the less chance we have of filling the place. The refund table is published in the booking system and shown before payment, and the rate in force when the player is removed applies. Refunds are made by Stripe to the card that paid and normally arrive within 10 to 15 days.
Swapping one player for another before the cut-off is free, and is always the better option. Removing a team does not remove or refund the players in it. No refund is given for a player who does not turn up on the day, for a team that starts late or finishes early, or for transport problems on the day.
6. Start Zones and start times
Start times are allocated automatically after the cut-off and cannot be requested or changed. Starts are staggered between 9:30am and 10:00am, and every team plays for seven and a half hours, so finishes are staggered to match. Your game starts when your team checks in at your Start Zone at your allocated time, standing inside the zone, and it ends wherever you are when your time runs out. Turning up late does not move your start time. If you are going to be late, phone HQ on the day so the marshals know.
7. On the day
- Everyone needs travel covering zones 1 and 2 for the whole day, whether contactless, Oyster or a travelcard, and is responsible for their own travel and its cost.
- Every team needs at least one compatible phone with the app installed, signed in before the day, with mobile data and enough battery for a full day. One nominated phone per team, the primary phone, performs check-ins. HQ can move the primary phone to another handset during the day.
- Teams stay together for the whole game unless Control tells them otherwise.
- Players must follow instructions from marshals, Control, emergency services, transport staff and other officials, follow public transport rules, respect members of the public and private property, and not enter restricted or unsafe areas.
- Players are responsible for their own safety, for being fit to take part in a long day on foot, and for carrying any medication they need. Leaders are responsible for managing medical needs within their teams.
- Personal belongings, including phones and other devices, are the player’s own responsibility.
8. Badges and event materials
Each player gets one Monopoly Run badge. Badges and any other materials are collected in person on the day, by the coordinator or someone they nominate, using the QR code issued after the cut-off. We do not post badges out afterwards, and uncollected badges are not refunded.
9. Fair play and cheating
Teams must play in the spirit of the game. Splitting a team up to cover locations separately, faking or spoofing GPS location, using automation or scripts, tampering with the app or the booking system, sharing answers between teams or falsifying challenge photos are all cheating. We investigate suspected cheating and may cancel check-ins, remove points or disqualify the team. Control’s decisions on rules, scoring and disqualification are final.
10. Behaviour and removal
Everyone is expected to behave safely and respectfully towards other players, the public, transport staff, location hosts and our volunteers, in keeping with the values of Scouting and Guiding.
We may remove a player or team from the run, disable their app access or refuse future entries from a group for unsafe, abusive, dishonest or seriously disruptive behaviour, or for cheating. No refund is given where this happens. Where we refuse future entries we will write to the coordinator explaining why, and the group can ask for the decision to be reviewed through the help centre.
11. The app and the booking system
Login codes for the app are issued through the booking system and are for your team only. Coordinators must keep their booking system login to themselves. You must not try to access another group’s or team’s data, scrape or copy data from either system, or reverse-engineer them.
We cannot guarantee uninterrupted operation of the app or mobile network coverage on the day. Technical problems and connectivity issues are not grounds for a refund. If the app will not check you in, phone HQ and we will check you in over the phone after asking a question to confirm you are at the location.
12. Photography and media
The organisers and their authorised volunteers photograph and film the event. By taking part you agree that those images may be used in materials about Monopoly Run, including this website, social media and promotion of future runs. If someone in your group would prefer not to be photographed, tell us before the day through the help centre and we will do our reasonable best to accommodate that.
Challenge photos submitted through the app remain the team’s own. By submitting one you give us permission to show it in the app, on the dashboard and on your team’s results page, and to use photos that Control flags as suitable in our own promotional material. Photos must be original: not a photo of a photo, and not AI-generated. Anyone in your team who cannot appear in photographs should stay out of shot, and your team is not penalised for members missing from a challenge photo. You confirm that everyone shown agreed to be photographed and that the photo does not infringe anyone else’s rights. You can withdraw permission for promotional use through the help centre.
13. Your information
How we handle personal information is set out in our website privacy policy and our app privacy policy, which form part of these terms. In short: the organisers are the data controller for coordinator accounts and for the operational data we hold about groups, teams and the game. For the player records a coordinator enters, the coordinator’s organisation is the controller and we process them on its behalf, so coordinators must have a proper basis for entering each player’s details.
Operational emails from the booking system may include open and click tracking so we can tell whether important messages arrived.
14. If the run cannot go ahead
We may make reasonable changes to rules, scoring, locations, timings or gameplay to keep the day safe and fair, and may alter, suspend or end the run if the authorities require it. These changes do not entitle anyone to a refund. We plan for protests and demonstrations in London and do not cancel the run because of them; where we know of one, we warn teams through the app.
If we cancel the run for reasons within our reasonable control, we refund places less the costs we have already committed by the point of cancellation, such as printing, badges, materials and infrastructure. The earlier a cancellation happens, the more of the entry fee we can return. We will tell coordinators the refund rate when we announce a cancellation.
If the run is cancelled, cut short or seriously disrupted by circumstances outside our reasonable control, such as severe weather, transport network failure, public health restrictions, action by the police or transport operators, or the failure of a supplier, we cannot refund places. Entry fees pay for printing, materials, infrastructure and other costs committed long before the day. Where we reasonably can, we will reschedule or carry entries forward to a future run, but we cannot promise either.
15. Liability and insurance
Players take part at their own risk. Monopoly Run “Live” is run as a Scouting event, so public liability cover for running it comes under Scouting’s insurance. We do not provide personal accident, travel or property insurance for players. Groups should arrange their own cover where they need it.
To the fullest extent the law allows, the organisers are not liable for loss, injury or damage arising from taking part, or for indirect or consequential loss. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, or for anything else that cannot lawfully be excluded.
16. Trademarks and intellectual property
MONOPOLY, the Monopoly name and logo, the distinctive design of the board and playing pieces, and the characters are trademarks of Hasbro. Monopoly Run “Live” is an independent not-for-profit event and is not affiliated with or endorsed by Hasbro.
The Monopoly Run name and logo, the location list, challenges, in-app graphics, team packs and the code behind the app and booking system belong to the organisers or their licensors. Taking part does not give anyone the right to use them for their own purposes without our written permission.
17. Keeping in touch and changes to these terms
We send important information by email, through the booking system, on this website and in the app. Coordinators are responsible for checking them and passing information on to their players.
When we change these terms, the new version is published here with the date it takes effect, and earlier versions stay available from the list on this page. If a change materially affects a booking already made or how we handle your information, coordinators will be asked to accept the new version in the booking system.
18. Governing law and general
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute. If part of these terms turns out to be unenforceable, the rest still applies. Nobody other than you and the organisers has rights under these terms.
If you have a complaint or a question about these terms, start with our help centre. Most things are sorted out quickly that way.
